The Challenge

At the launch of Control Energy, there was a need for a scalable system that would allow both administrators and customers to collaborate efficiently around energy services such as solar panel helpdesk, alert service, and energy scans. Orders came in through email, phone, and separate forms, covering different product types: one-time purchases, subscriptions, and ongoing service delivery.

After a purchase, a longer process followed: uploading documents, linking SolarEdge, setting up monitoring URLs, and providing status updates. This ran separately from payment and happened through email and phone. Sales and operations worked in Pipedrive, but it was not connected to the portal. This cost a lot of time and led to confusion, delays, and error-prone processes. A single centralized platform was needed to unify and automate everything.

The Solution

We built the Control Energy Portal: an all-in-one platform used by both administrators and customers. Customers can place orders as one-time purchases, recurring services, or subscriptions. Payments are fully handled through Stripe. Through the portal, customers can create support tickets, exchange messages, and receive automatic emails about the status of their request or order.

Service delivery after payment

After a successful payment, the right service workflow starts automatically, depending on the product. For the solar panel helpdesk, customers upload documents, SolarEdge is linked, and a monitoring URL is set up. For the alert service, monitoring and account transfer follow. For the energy scan, the workflow moves from in progress to delivering a result PDF. Each workflow has its own admin steps, emails, and progress indicators in the portal.

Lead capture without an account

Four public forms (Quick-Scan, inspection, interest, and reference) capture leads without requiring login. For a Quick-Scan, a customer account is created automatically and activated once the team completes the process.

CRM integration

Pipedrive is synchronized automatically: customers, businesses, orders, and support tickets become deals. Two Pipedrive instances (Control Energy and Solar Box) support different pipelines.

Subscriptions and automatic renewal

Recurring services are renewed automatically every day. Existing payment methods are used for direct debit; otherwise the customer receives a payment reminder by email.

Administrators manage customers and businesses, guide orders through streamlined flows per order type, and prevent errors. The platform includes automated document management: branded invoices, credit notes, refunds, and customer documents required for service delivery. With promotion links, staff can offer custom pricing through a personal checkout link.

Everything comes together in one central system. Control Energy can efficiently serve a large number of customers with a small team.
