The Challenge

For years, Equaflor relied on a mix of paper forms and Excel spreadsheets. This resulted in:

  • error-prone workflows due to duplicate data entry,
  • limited task handover between colleagues,
  • no centralized system with real-time insight,
  • no backup in case of emergencies,
  • daily time lost on manual operations.

The Solution

We developed a fully digital web application based on Directus (backend) and Nuxt (frontend). The system includes modules such as:

  • Task management and notifications
  • Product and company management
  • Orders and pricing agreements
  • Order jobs, transport partners, and shipments
  • Quality checks, trolley management, and forecasting

We also implemented role-based access control (RBAC), allowing each user to only access the parts of the system relevant to their role and responsibilities. This ensures both security and clarity in daily operations.

The dashboard displays real-time order and product information, giving users instant visibility into operations.

AI Jobs: from grower document to draft shipment

Growers send their shipments as an invoice, packing list, Excel file, PDF or photo. Staff retyped them line by line, which took 10 to 20 minutes per shipment.

With the AI Jobs module, the Equaflor Portal now turns those documents into a draft shipment. Fixed follow-up steps tidy up the draft, for example by merging product lines. After about 15 seconds the shipment is ready for review: a manager checks it and completes it. At 20 to 40 shipments a week, that saves 3 to 13 hours.
