About Todays Logistics B.V.

Todays Logistics B.V. specializes in trade-show logistics. Containers packed with exhibition materials arrive from China at their warehouses in Montfort and Aalsmeer. There, they are unloaded, sorted, and redistributed to numerous European trade shows. Every delivery must arrive exactly on time and be confirmed with photo documentation for the Chinese agents.

Challenge

Despite their crucial role, most of the process was manual. The core problem: containers arrived without reliable information about their contents. This led to waiting time, searching, and errors.

  • Documentation from China was often incomplete or missing.
  • Colli were only discovered during unloading and had to be matched manually.
  • Warehouses came to a standstill until it was clear what was in the container.
  • Shipments for different trade shows were mixed together.
  • Photos and status updates went through email, WeChat, and WhatsApp.
  • Excel lists and loose photo albums were not scalable.

In short: every container was a surprise, while deadlines count by the hour.

Todays wanted complete digitization of the process:

  • Automatic label generation, scanning, and photo linking.
  • Clear roles, permissions, and real-time dashboards.

Solution

We developed an integrated portal that digitizes the entire trade-show logistics process: from pre-registration in China to photo proof on the show floor.

  1. Pre-registration by agents Agents enter colli, quantities, dimensions, trade-show destinations, and documents before containers depart. Todays now knows in advance what’s coming.
  2. Digital container inventory Each container receives a real-time contents list, turning arrival into a verification process instead of guesswork.
  3. Scanning & discrepancy detection Warehouse teams scan during unloading; the portal confirms colli, flags missing or unexpected items, and automatically informs planners and agents.
  4. Dynamic floor layout & sections Both warehouses have digital floor plans. Planners manage sections, reserve space, and see live occupancy; staff know exactly where colli belong.
  5. Automatic colli assignment After each scan, the system knows the correct section, available space, and associated shipment.
  6. Transport planning & booth placement Shipments are assigned to trucks. On-site, colli are unloaded, photographed, and automatically linked to the correct booth, visible to agents.
  7. Roles & permissions Agents, warehouse teams, planners, and admins work in their own workflows with the right privileges and reporting.

Results

The digitization has transformed Todays’ entire process; the container mystery no longer exists.
